Aisys Task Matrix Reviews
How it works
Aisys reads the board the way you would if you had the time. Then it hands you a list: what's wrong with each task, and the fix it suggests.
Review first, then approve
Nothing on the board changes until someone approves a fix. The diagram below is the whole thing.
What a review checks
Each part of the board gets its own score out of 100. Together they make the board's health score, and the Progress tab shows how each one moves from review to review.
Every task:
- Titles - the name says what the work is.
- Department - which part of the business it belongs to.
- Assignment - the right name is on it.
- Due dates - work in progress has a date.
- Descriptions - enough for someone else to pick it up.
Recurring tasks, on top:
- VTOF* letters - what's still to do on the task: V for video, T for task description, O for Operations Manual, F for filed, and the star until it's been checked in use.
- Operations Manual - the task links to its manual.
- Comments - a comment each time the task is done.
- Urgency, Second owner, Review date, Average time and Estimated time - the Task Matrix custom fields are filled in.
Aisys checks that a task links its manual. It doesn't judge what the manual says.
When a manual is due a check
When a recurring task's Review date has passed, the review asks you to check the manual and video still match how the task is done. Press Review done if they do. Press Add to OM pipeline if they need updating, and Aisys asks you for a new video or other updates.
What a review costs
Aisys looks again only at tasks that changed since the last review. So a quiet week costs little, and a board with no changes costs nothing. Approving a fix costs nothing either. Your Reviews page shows what each review cost.
If a task changes in between
Before making an approved change, Aisys checks the task again. If someone has changed it in Asana since the review, Aisys leaves it alone and the row says Skipped. The next review looks at it again.
