Aisys Task Template Sync
Quick Start Guide
Change your task template once. Aisys brings every live task in the pipeline into line with it. Everything you need to start is on this page.
Setup
- 1Give Aisys editor access to the project your pipeline lives in. Add Aisys to a team already shared on that project, or add Aisys to the project as an editor.
- 2Name your columns after your template's sections. A column is updated only when its name matches a section heading in your task template. See Setting up your pipeline.
Updating your live tasks
- 1Make your changes to the task template. New steps, new instructions, steps taken out, steps moved.
- 2Tag the task template with Sync Pipeline
Tasks. Press TAB + T (or use the More menu on the task) and pick the
tag from the list.
Tag the template itself, not a live task and not a subtask.
- 3Aisys comments on the template with a link to your report, usually within a few minutes. Nothing has changed yet. The report shows exactly what would change, in which live tasks.
- 4Your manager opens the report on your Aisys hub. They sign in with the email they use for Asana, and the sign-in link arrives as a private task in their Asana inbox.
- 5Fix anything the report lists, then confirm. Made a change in Asana? Refresh the report, and a fresh one is ready in a few minutes.
- 6Type Approved and click Sync Pipeline Tasks. Aisys updates every live task within a few minutes, then comments on the template with what changed.
What never changes
Work already done. A completed subtask is never touched.
Work in progress. If you take a step out of the template and someone has already commented on it, added a file or added a subtask under it, it stays in their live task, with a note saying why.
What people have typed. New instructions go at the top of the description. What was there before stays underneath.
The live task's own name. It carries that job's details, so Aisys leaves it alone.
