Recording a walkthrough

A video is not required. You can tag a task and get a manual without ever recording anything. But it is the single highest-value thing you can do, and not mainly because of Aisys — read on.

The video is worth more than the manual

It is easy to think of the recording as raw material for Aisys. It is not. It is the training.

The Operations Manual is "what good looks like" — the deliverables, the access, the checks, and a short checklist. That is exactly what an experienced person or an AI needs, and nothing more. It is a reference, not a lesson.

The video is the lesson. It is how a new starter learns the job without sitting next to you. It is how the work gets covered while you are on holiday. It is how somebody else in the business picks up your way of doing things instead of inventing their own. Record it once and it does your training, your handover and your onboarding for as long as the process stands.

So the recording has two jobs, and the second one is arguably the bigger of the two.

How to record it

Hit record when you start the task, do it exactly as you normally would, and talk as you go. Use a screen recorder for computer work, or your phone for anything physical. Then link the video on the task before you tag it.

The narration is the valuable part, not the footage — for the person watching it and for Aisys. So talk more than feels natural.

What to mention as you go

Try to capture as much of this as you can, and do not worry if you miss something:

  1. 1What you are about to do — a couple of sentences at the start. "In this video I'm going to show you how to schedule the weekly social post. By the end, the post is scheduled and the pipeline sheet is updated."
  2. 2Why it matters. "It's important we get the scheduling right, because the posts have to go out in the order set in the content plan."
  3. 3Which apps you are using. "I'm going to Facebook, and I'll need the Content Pipeline spreadsheet open too."
  4. 4How you log in — a shared account from LastPass, or your own user account. Say which, because the next person needs to know what to ask for.
  5. 5Talk through the steps. Not click by click — just the actions. "I'm going to the company page, creating the post, attaching the images from the campaign folder, and scheduling it for the slot on the pipeline sheet."
  6. 6The critical checks — anything that must not be missed. "Always check the time zone on the schedule, and check you're posting as the company page and not as yourself."
  7. 7Roughly how long it takes. "This usually takes about ten minutes." Aisys will ask, so it saves a question.

Those seven points quietly cover the inputs, the access, the deliverables and the checks — everything the manual needs — without you having to think about any of that while you work. Do the task; mention these as you go.

Do not chase perfection

Aim for speed. A rough video with a clear explanation is worth far more than a polished one you never get round to making. Do not re-record because you stumbled or took a wrong turn — talking through the wrong turn is often the most useful thing on the recording.

Recording as you work adds a couple of minutes to a task you were doing anyway. That is the whole cost of getting it out of your head permanently.
